Smart scheduling of more than 5000 teachers

Scheduling teachers is a complex task. Our custom application centralises and processes all information, so that principals and planners can focus on their main task: every teacher in the right place.

Challenge

Municipal Education of Antwerp, one of the largest school umbrella organisations in Flanders, supports almost 55,000 students every day in the development of their knowledge and social skills.

A challenge for more than 6,500 teachers and support staff. These employees are scheduled annually based on limited resources and available working hours.

Until recently, school boards managed these from their own communication platforms (there was no central platform), which often led to teacher shortages, double schedules and complex reporting.

Administrative employees often spent hours looking up appointments, often lacked teachers to fully fill the roster and lost valuable time processing data in confusing Excel sheets.

Intelligent Assisted Planning

In collaboration with Municipal Education of Antwerp and Digipolis Antwerp, supported by the Flemish Government with the Innovative Public Procurement Program, Ballistix.digital developed the Intelligent Assisted Planning Platform. We centralised the planning of the entire school umbrella in one tailor-made application.

The application makes it possible for school management to:

  • Easily and clearly schedule teachers;
  • Plan beyond the boundaries of the individual schools;
  • Detect and avoid planning errors and duplicate schedules;
  • Take into account leave systems and federal regulations;
  • Centralise data collection in one simple tool;
  • Report to Wis@d, which automates reporting to the Flemish Government.

Approach

This digital project is of an unprecedented size. Bringing so many schools together on one platform is a huge challenge. An assignment that required the necessary creativity and flexibility.

In the first phase of the project we gave priority to design and user-friendliness. After extensive workshops with all stakeholders, we developed an initial interface that we later extensively tested at various school boards.

This user-generated feedback was the basis for the necessary adjustments, even before we started coding and implementing the platform. After 2 years of testing and optimisation, the entire school umbrella organization has been working with Intelligent Assisted Planning since this school year (2023 - 2024).

The platform has made capacity planning for school boards faster, more efficient and almost error-free.
