In collaboration with the Municipal Education of Antwerp and Digipolis Antwerp, Ballistix.digital developed the Intelligent Assisted Planning Platform, which has now won a prize at the FeWeb Awards. These awards are developed by FeWeb, the federation for web companies. The jury praised the strategy, value creation, user benefit and innovative character of the project.

The application has had a major impact on the way in which more than 6,500 teachers and support staff are scheduled. Steven Ceuppens, project leader at Municipal Education of Antwerp agrees: "The Intelligent Assisted Planning Platform has made capacity planning for school management faster, more efficient and almost error-free. It aims to automate the complex tangle of staff planning by transcending the boundaries of local schools and maintains an overview of holiday systems, education-wide regulations and available resources."

The project was co-financed by the Programme for Innovation Procurement (PIP). With the PIP, the Flemish Government is creating additional opportunities to renew the operation of the Flemish public sector together with companies and to provide innovative answers to numerous social challenges.

A challenge of Belgian proportions

Every day, the Municipal Education of Antwerp supports almost 55,000 students in their development of knowledge and social skills. A challenge for more than 6,500 teachers and support staff. These employees are scheduled annually on the basis of the resources and hours made available by Flanders. Until recently, the school boards managed these from their own planning rooms and spreadsheets due to the lack of a central platform. This often led to teacher shortages, double schedules and complex reporting. The Intelligent Assisted Planning Platform, developed by Ballistix.digital in close collaboration with Digipolis, has addressed these problems by centralizing the planning of the entire school board in one custom-made application.

A unique approach

This digital project is of an unprecedented caliber, in which a large number of schools work together on one platform for the first time. Ballistix.digital's approach started with a focus on design and usability, inspired by extensive workshops with all stakeholders. ​​​​After thorough testing and feedback from various school managements, the interface was adjusted before the platform was coded and implemented. After two years of testing and optimization, the entire school umbrella organization has been fully operational with the Intelligent Assisted Planning Platform since this school year (2023-2024).

Results that speak for themselves

The results of the platform are impressive:

• Faster and more efficient teacher planning.
• Elimination of planning errors thanks to automation.
• Automatic data processing and reporting to Wis@d.

With this planning tool, schools can now focus on things that really matter and maximize the talents of teachers.

In addition, with the data now collected by the platform, artificial intelligence can play a role in further supporting the planning process in the future.
